Contactor Management is one of our key areas of expertise. Whether a large construction site with many contractors on the premises, or a commercial office hiring a single contractor to fix a leaking pipe, it is vital that your organisation effectively manages contractors. Not doing so could lead to a costly accident or in serious circumstances even a criminal investigation.

Manual Contractor Management Systems

Contractor passes, or badges, are used by many organisations to easily identify contractors working on their premises. This helps to ensure that all contractors are authorised to be on site, as well as record accurate details regarding what work they are permitted to carry out.

Kalamazoo Direct’s handwritten contractor books and passes enable your organisation to effectively manage contractors working on your site, whilst helping to ensure that you meet relevant health and safety obligations.

Upon arrival at your premises, the contractor fills in information onto a pass, which is simultaneously transferred onto an integral register, also forming an up to date fire evacuation list. The pass and register records the type of work that the contractor is permitted to carry out, along with other key information (such as designated work area), helping to cover your organisation in the event of an incident. The reverse of the pass can be used to communicate your organisation’s general health and safety guidelines, a requirement as part of your organisation’s Duty of Care.

Once completed, the pass is removed from the book, inserted into a badge holder and then given to the contractor to be displayed on their person at all times. The pass is then returned to point of issue upon departure, allowing personnel to keep track of exactly who is on the premises, helping to increase the level of security on site.

Permits to Work

Where proposed work is identified as having a high risk, strict controls are required. The work must be carried out against previously agreed safety procedures, called a ‘Permit to Work’ system.

The Permit to Work is a documented procedure that authorises contractors to carry out specific work within a specified time frame. It sets out the precautions required to complete the work safely, based on a risk assessment. It describes what and how work will be carried out.

Designed to work in conjunction with Kalamazoo Direct’s contractor management systems (though can be used separately), our Permit to Work forms help to ensure that the appropriate precautions have been taken to avoid workplace incidents and contractors have signed ‘acceptance of responsibility’, protecting your organisation in the event of an incident.
